The Opportunity

As an Administrative Assistant at Thelan, you are at the center of all business activities and the force that helps drive the team forward.  In addition to being organized and analytical, you possess the strong business judgment and communication skills needed to interact with a variety of people and job functions. You anticipate the needs of managers and team members and help them stay focused on their projects by resolving operational and administrative issues before they arise. You adapt quickly in a changing environment and are always current with all business operations, including client relationships, targeted engagements, industry dynamics, and corporate initiatives.  In this role, you will help manage a variety of simultaneous projects, exercising your ability to communicate effectively with all levels of the organization.

Key Responsibilities

  • Perform a variety of administrative tasks (manage calendars, book travel, greet visitors, purchase office supplies, and schedule facilities and equipment)
  • Tracking the status of action items; coordinating and maintaining an office calendar; and participating in projects that identify the efficiency and effectiveness of program operations
  • Maintain office security implementing procedures
  • Assist in onboarding and guiding new team members
  • Oversee technical communications and serve as a point of contact for the firm
  • Manage internal corporate projects through its lifecycle with minimal supervision

To Qualify for the Role, You Must Have:

  • Associate Degree
  • Strong written and oral communication skills
  • Proficiency in Microsoft Office Suite
  • Strong attention to detail and organizational skills
  • Strong verbal and written communication skills with a demonstrated ability to effectively communicate and collaborate with a diverse range of people and job functions
  • 2-3 years of related experience with administrative support at an executive level
  • Experience managing scheduling in a fast-paced environment
  • Ability to operate and troubleshoot standard office equipment
